Generate Work Orders from Scheduled Services

PMXpert can automatically generate a series of work orders for any scheduled services that have not yet been assigned to work orders. To review how to schedule services for an asset, see Chapter 3: Assets, Assign Services to an Asset.

These instructions will guide you through generating Work Orders from scheduled services.  You can also create Work Orders manually for tasks that cannot be scheduled in advance.  See Chapter 6: Work Orders: Create Work Orders.

 

1.Using the calendar in the upper left corner of the PM Schedule screen, select the dates on which the services have been scheduled.  See Review and Sort Scheduled Asset Services above.
2.PMXpert displays a list of the scheduled services in the selection grid below.
3.On the selection grid, click the check boxes in the left column to indicate the scheduled services for which you want to create work orders. To select all services, click the PM Options button and click Select All. To un-select all services, click the PM Options button and select Unselect All.
4.Click the green Generate W.O.s (Work Orders) button in the upper right corner.
5.The Work Order Generate window appears.
6.From the Generate Work By drop-down list, indicate how you want the services grouped on the work orders: Asset, Asset and Related Asset, Category, Location, Department, Operator, Single Service, Service, Scheduled Date, Responsible Person or All Services. The most common option is to generate one work order for each asset, but you may prefer to create one work order for each department or operator.

7.The Work Order Status will be set to Open.  If there are other Statuses to choose from, you can select another by clicking the Set Status button.  Remember that there is a system setting that allows you to have PMXpert automatically set overdue work orders to a certain status; see Chapter 2: Setting Up PMXpert, Step 3: System Settings, Work Orders: Options.

8.The Description Prefix will default to the one you set under the General tab in your System Settings, but you can enter new text if you wish.
9.Check the checkboxes below if you want to Print the Schedule List and/or Assign Unassigned Requests.
10.If you are sure you want to generate the Work Orders, click OK. Once generated, work orders can only be cancelled. They cannot be deleted.  Also note that once a work order has been created for a service, that service will no longer appear on the PM Schedule.
11.If you chose to Print the Schedule List, the window for printing the Schedule List will appear. Refer to Chapter 10: Reports, Print Reports for information on printing PMXpert’s various reports.

12.After you print the schedule list, or if you chose not to print the list, the Work Orders Created window will appear. This displays a list of the work orders generated from the schedule.

13.At this point, you may choose to print a list of the generated work orders or to print the work orders themselves.
14.To print a list of the generated work orders, click Print List. To print the actual work orders, click Print Work Orders. Refer to Chapter 10: Reports, Print Reports for detailed instructions on printing reports.
15.When you are done printing the work orders or the work order list, click Close in the bottom right corner of the window.
